# Email Style Guide Reference examples for email reply generation. Add good examples here over time. ## Style Principles - **Direct**: Get to the point quickly, no unnecessary preamble - **Helpful**: Anticipate follow-up questions and address them preemptively - **Clear expectations**: Be explicit about requirements, deadlines, formats - **Warm but professional**: "Ciao" for Italian colleagues, first names, but still structured - **Action-oriented**: End with clear next steps or questions - **Sign-off**: Never finish an email with "Best" - **Salutation**: Prefer "everyone" over "all" (e.g., "Hi everyone" not "Hi all") ## Student Emails ### Example: Exam Scheduling (Matteo Cicala, Feb 2025) **Context**: Masters student asking about exam date/time, needs guidance on paper requirements. **Reply**: > Ciao Matteo, Thank you for registering. The exam is actually on the 6th February (not 5th as you said). I just double checked on the webdocente (see screenshot). Would 11am on Friday 6th February be ok? The exam will last about 30 minutes. 15 minutes speaking about the topics on the course. 15 minutes speaking about your paper. Your grade is 50% Speaking and 50% Writing. Remember I am really wanting philosophical argument in the paper, not a literature review. The word count you should be aiming for is about 3000 words. you can go over this or above this within reason (which I consider to be about 200 words either side. If you have any more specific questions about the topics we covered in the course, and how i will grade the paper and the speaking, just get in touch. I would like the final version of your paper about a week before 6th February (we can negotiate this to some degree as long as you let me know in advance). If you would like some feedback on an early version of your paper, or if you want to run some ideas by me, just get in touch. Also, while I think about it, could you let me know/remind me of the title of your paper please? Regards, Nick **What makes this effective**: - Corrects error gently but clearly - Offers alternative that meets their need (morning slot) - Explains exam structure completely - Emphasizes philosophical argument over literature review - Offers flexibility on deadline with conditions - Invites further contact for feedback - Asks for information needed (paper title) ## Colleague Emails (Add examples here) ## Formal Requests (Add examples here)
